Technology solutions for education and training providers

Enrolment, timetables, payments and student records that work together, for training organisations, tutoring businesses, private colleges and course creators.

Who this is for

We provide technology solutions for education and training providers whose work runs on enrolments, timetables and student records: registered training organisations (RTOs), tutoring and coaching businesses, private colleges and people who sell their own courses online.

Typical starting points:

  • An RTO in Western Sydney that takes enrolments on paper, then retypes them into its student management system and again into Xero.
  • A tutoring centre that takes bookings by text message and keeps a separate spreadsheet for each tutor's timetable.
  • A private college whose website, learning platform and payment page each ask students for a different login.
  • A course creator who has outgrown a course marketplace and wants to sell under their own name.

We do not replace systems that are working. Most projects join up what you already use, add the piece that is missing and remove the double entry. We also run education software of our own, which you can see on our products page.

Common technology challenges in education and training

  • Enrolment details typed several times: into a form, the student system, the accounts and the learning platform
  • Timetables, rooms and trainers kept in spreadsheets that clash when someone edits the wrong copy
  • Course fees, payment plans and refunds tracked by hand, so overdue accounts are noticed late
  • Students holding separate logins for the website, the learning platform and the payment page
  • Attendance, assessment and completion records spread across paper, email and shared drives
  • Identity documents and results stored where more staff can open them than need to
  • Reports for owners and regulators assembled by hand at the end of every period

How we help

Custom software

Enrolment, timetabling and student portals built around how you deliver, where an off-the-shelf student system leaves a gap.

Business systems and integrations

Enrolments, invoices and payments passed between your student system, learning platform and Xero or MYOB, so each detail is entered once.

Websites

Course pages, intake dates and online enrolment with card payment, written so prospective students can find and compare your courses.

Mobile apps

A student or tutor app for timetables, bookings, attendance and messages, published for iPhone and Android.

Data and dashboards

Enrolments, completions, attendance and overdue fees by course and campus, refreshed without anyone rebuilding a spreadsheet.

Cyber security

Multi-factor authentication, access limited by role and tested backups for the student records you are required to keep.

StageWhat happens
1. Discovery callA free conversation about how a student moves from enquiry to completion, and which systems hold their details along the way.
2. Plan and quoteA written plan and a fixed or staged quote, agreed before work starts and timed around your intakes and term dates.
3. Build and testWork is delivered in stages with regular demos. Your administrators test each stage with sample students before real ones see it.
4. Launch and trainA secure go-live between intakes, existing student records migrated and checked, and training for administrators, trainers and tutors.
5. Ongoing supportMonitoring, updates and help, including changes when a course, fee or reporting requirement changes.

Systems we commonly integrate

These are tools we connect to, not products we resell.

Learning platforms

Moodle and Canvas are commonly integrated, so a confirmed enrolment opens the right course and results return to the student record.

Student management systems

We connect to systems such as aXcelerate, so your records stay in the system that already holds them.

Accounting

Xero and MYOB: invoices, payment plans and receipts posted to your accounts as enrolments are confirmed.

Payments

Stripe for course fees and deposits paid online, matched to the right student and invoice.

Email, calendars and classes

Microsoft 365, Google Workspace and Zoom: staff accounts, shared calendars and online class links created from the timetable.

Enquiries

HubSpot or the CRM you use, so each course enquiry is followed from first contact to enrolment.

Rules that shape systems for Australian providers

The Australian Skills Quality Authority (ASQA) is the national regulator for vocational education and training. Its 2025 Standards for RTOs came into effect on 1 July 2025 and have three components: Outcome Standards, Compliance Standards and a Credential Policy. Three record duties affect the systems an RTO runs:

  • Activity data. ASQA says all RTOs must collect and report information about their students, training activity and outcomes. Reporting is moving from AVETMISS to the VET Information Standard, and ASQA says most RTOs will meet the requirement through a student management system that supports the standard.
  • Student records. ASQA states that currently registered RTOs are required to hold student records for a minimum of 30 years.
  • Unique Student Identifiers. The USI office says education and training providers are required to collect and report their students' USI numbers.

Higher education providers are regulated by the Tertiary Education Quality and Standards Agency (TEQSA). For any provider the Privacy Act covers, Australian Privacy Principle 11 requires reasonable steps to protect the personal information it holds.

We build and connect systems with these duties in mind. Meeting them remains your responsibility, and we do not give regulatory advice.

Questions from education and training providers

Can you connect our student management system to Xero or MYOB?

Usually, yes, where your student system offers an API (a documented way for software to exchange data) or a reliable export. We check this during discovery and tell you plainly if it cannot be done. See business systems and integrations.

We are an RTO. Will a system you build do our regulatory reporting?

Reporting is normally done from your student management system, and we would rather connect to it than replace it. Our part is making sure enrolment and outcome data reaches it once, complete and in the right fields.

Can students enrol and pay online?

Yes. An enrolment form on your website can collect the details you need, take a card payment or set up a payment plan, and create the student in your other systems.

Do we need a custom platform, or will Moodle or Canvas do?

Often an established learning platform is the right choice and the work is connecting it properly. Custom software suits the parts no product covers. An IT consulting review can compare the options before you commit.

Can you move records out of our old system?

Yes. Data migration is part of launch. We run a trial migration first and you check a sample of students, enrolments and results before the old system is switched off.

Who owns the platform and the student data?

You do. Clients own their code, data and documentation. To talk through your situation, use the quote form.
