Google Meet AI notes switch on by default for Business plans on 29 September

From 29 September 2026, Google Meet will be set to take AI meeting notes automatically for organisations on Google Workspace Business Standard and Business Plus, in meetings with three or more people, unless an administrator changes the setting. Google confirmed the date in a Workspace Updates post on 22 September 2026. If your business runs on one of those plans, you have a few days to decide whether that default suits the way you meet with clients and staff.

What is changing and when

The feature is called "Take notes for me". It uses Gemini, Google's AI model, to write meeting notes into a Google Doc. Until now, administrators could only turn automatic note-taking on or off for all meetings. Google's announcement of 22 September 2026 explains two changes:

  • Administrators have a third option that limits automatic note-taking to meetings with three or more people.
  • Users get a matching option in their own Meet settings, labelled "For all meetings I host with 3+ guests".

The part that needs attention is the default. Google has set it differently for each edition:

The administrator's default is applied to users on 29 September. After that, each user can override it in their own Meet settings. Google describes the rollout as extended, which means the change may take longer than 15 days to appear for everyone.

This is not a surprise announcement. Google first flagged the change on 16 July 2026, when it said users would see no impact before 21 September. The September post sets the date at the 29th. Google also notes that organisations that took part in its Gemini Alpha program may already have the setting switched on from earlier testing.

What "Take notes for me" does

According to Google's Meet help page for the feature, the output is a Google Doc with two tabs: quick notes, which give a short summary of key takeaways and action items, and full notes with more detail. A few points matter for a business:

  • Where the notes go: the document is saved in the meeting organiser's Google Drive, in a "Google Meet" folder, and attached to the Calendar event. The organiser also receives an email with a link.
  • Who receives them: the host chooses between all invited guests (including people outside the organisation), invited guests inside the organisation only, or hosts and co-hosts only. Recipients are based on the Calendar invitation, not on who attended.
  • What participants see: Meet tells everyone in the meeting that notes are being taken, and a pencil icon appears on screen.
  • Stopping it: participants from inside the organisation can stop and restart the notes during a meeting. If host controls are on, only hosts and co-hosts can.
  • Screenshots: notes can include screenshots of presented content, depending on the administrator's setting.
  • Languages: eight languages are supported, including English, with one language per meeting.
  • Retention: Google's administrator documentation says the notes documents follow Meet retention policies, which are managed through Vault.

Who is affected

Any business on Business Standard or Business Plus where staff host scheduled meetings with three or more people, counting the host. For a small business that covers a large share of what happens on Meet:

  • an accounting practice meeting two directors of a client company
  • a recruitment firm running a panel interview with a candidate
  • a clinic's weekly team meeting where individual patients are discussed
  • a builder's catch-up with a client and a subcontractor
  • a manager, an employee and a support person in a performance conversation.

For plenty of meetings, automatic notes will be welcome. The questions to ask are about the others. Would a client expect to be told in advance that an AI tool will summarise the conversation? Should a written summary of a sensitive staff discussion exist in someone's Drive at all? Could notes be shared with an invited person who did not attend? An AI summary can also get details wrong, so a note that nobody has checked should not be treated as the record of what was agreed.

The options for administrators

Google's administrator help page on the change lists three settings for automatic note-taking.

To change it, a Google Meet administrator goes to the Admin console, then Menu, Apps, Google Workspace, Google Meet, opens the Gemini settings section and selects Automatic note-taking. The setting can be applied to the whole organisation or to an organisational unit or group, so the accounts team can have a different default from the project team. Google says changes can take up to 24 hours to apply.

Three related controls sit in the same area of the Admin console:

  • Gemini note-taking can be switched off entirely, so nobody can start it.
  • The default sharing setting for notes can be restricted. Google's documented default is invited guests in your organisation.
  • Administrators can require explicit consent from participants before features like this start.

A checklist for this week

  1. Confirm your edition. Business Standard and Business Plus are the plans where the default is on.
  2. Decide the default team by team. Consider off for people who run client, HR or finance meetings, and on for internal project teams.
  3. Review who receives notes. Check the default sharing setting and whether hosts are allowed to change it.
  4. Decide on screenshots. Presented slides and screens can contain figures and names you do not want copied into a document.
  5. Tell staff. Explain what the pencil icon means, how to stop notes mid-meeting, and that they should check their own Meet settings once the change reaches them.
  6. Tell external guests. Add a line to meeting invitations or engagement letters if you intend to use AI notes with clients.
  7. Check retention. Make sure notes documents are covered by the same retention and deletion rules as your other records.
  8. Read before relying. Ask hosts to review and correct notes before they are circulated or filed.
